Carbonless multi-part forms let you write once and produce instant copies for everyone who needs one, no copier, no carbon paper. The question is how many parts you need. Two? Three? Four? The answer comes down to how many people or departments need a record of each transaction. Here is how to decide.
How many parts?
| Parts | Typical copies | Common use |
|---|---|---|
| 2-part | Customer + business | Receipts, simple invoices |
| 3-part | Customer + office + file/tech | Work orders, invoices |
| 4-part | Customer + office + warehouse + file | Orders with shipping/receiving |
How the copies are organized
Each part is usually a different color so it is obvious who gets which: white (original) on top, then canary, pink, and gold beneath. Writing on the top sheet transfers cleanly to every copy below, so a single signature produces an identical record for each party.
Count the parties who need a record of the transaction, that is your number of parts. Two for a simple customer-and-you receipt; three when the office and a technician both need copies; four when shipping or receiving is involved. Color coding keeps the copies sorted.
Why carbonless beats a copier
Pulling out a phone or finding a copier on a job site is not practical. A carbonless form produces every copy the moment you write, on the spot, in the truck, at the counter. Everyone walks away with their copy and the record is consistent because it was all written once. See carbonless NCR forms.
