How to Prepare an Envelope Print File (Bleed & Address Windows)

Designing a print-ready envelope file

Envelopes are trickier to design than they look. Unlike a flat sheet, an envelope has seams, flaps, glue lines, and sometimes a window, all of which affect where your ink can safely go. A few setup habits keep your envelope print job clean and avoid surprises on press.

Start with the right flat size

Always design to the envelope’s finished (flat) dimensions and confirm the orientation with your printer. A #10 envelope, for example, is 4-1/8 x 9-1/2 inches. Setting up at the wrong size is the most common reason artwork comes back misaligned.

The setup rules that matter

ElementRule of thumbWhy
BleedAdd 1/8 in if ink runs to the edgePrevents thin white slivers after trimming
Safe marginKeep text 1/4 in from edges and seamsSeams and flaps can shift ink slightly
Window clearanceKeep art clear of the window areaArt over the window won’t print on the panel
Return addressTop-left, inside the safe marginStandard position, reliable placement
Resolution300 DPI for images, vector for logosSharp print, no pixelation
ColorCMYK, not RGBPrint uses CMYK; RGB shifts on press
Key takeaway

Avoid placing solid ink coverage right over seams and the gummed flap. Heavy ink on a seam can crack or look uneven. Keep dense backgrounds on the flat face of the envelope.

Designing around the window

If you are using a window envelope, the address on the enclosed document must show cleanly through it. That means:

  • Leave the window zone free of your envelope artwork.
  • Match your document’s address block to the window position.
  • Leave a little clearance so a slightly shifted insert still shows the full address.

We can send you a template with the exact window coordinates for your envelope so the document lines up every time.
